About the Project

Currently, we are looking for a top Executive Assistant for our key client, a Berlin-based communications consultancy that helps founders and CEOs enhance their communication strategies. Specializing in startup communications, crisis management, and leadership coaching, they empower leaders to drive growth and build strong connections with investors, customers, and talent.

We are looking for an Executive Assistant to manage the founder’s calendar, handle LinkedIn outreach, and assist with workflow optimization. This remote, part-time role offers flexible hours, with a mandatory time slot for LinkedIn engagement. The ideal candidate will be proactive, organized, and reliable, providing crucial support to ensure smooth operations. Monday to Friday, with a mandatory slot from 14:00 to 16:00 CET for LinkedIn engagement; the rest is flexible. 

SMART Goals:
1. Optimize Time Management: Independently handle 90% of scheduling, meeting coordination, and follow-ups, reducing response times for administrative requests to under 24 hours.
2. Drive LinkedIn Engagement: Conduct daily LinkedIn outreach, responding to 100% of relevant messages, and engage with posts and comments every weekday to continue to build the founders' professional presence.
3. Proactive Problem-Solving: Anticipate and address time-consuming issues, providing actionable recommendations to minimize disruptions by the second month. 



Your Duties:

As an Executive Assistant, you will be responsible for:
 

Managing the founder’s calendar, including scheduling and coordination of meetings.

Handling incoming emails and correspondence, ensuring timely and professional communication on behalf of the founder.

Engaging with relevant connections, responding to LinkedIn messages, and interacting with posts to maintain and expand the founder’s professional network.

Assisting with the introduction and maintenance of new tools and systems.

Supporting the optimization of existing workflows for increased efficiency.

Handling daily tasks that reduce the founder’s workload, such as follow-ups, document organization, and basic research.

Ensuring smooth execution of minor but time-intensive responsibilities.

 

Requirements: 

 

At least 3 years of experience as a Virtual Assistant/Executive Assistant or Administrative Assistant

Exceptional organizational skills with the ability to handle scheduling, workflow management, and follow-ups efficiently.

Proactive mindset with the ability to anticipate needs and resolve minor issues independently.

Attention to detail and the ability to manage multiple tasks simultaneously.

Comfortable working in a remote, freelance environment with flexible hours.

Ability to prioritize tasks effectively and ensure deadlines are consistently met.

Ability to manage both administrative and strategic responsibilities with ease.

English language upper intermediate (B2) is a must

 

Nice to have:

German language skills are a plus but not required.

Familiarity with digital tools like Slack, LinkedIn, Google Workspace and ChatGPT
